Participants will be able to independently describe a process in an unambiguous and complete manner, preparing it as an "input" for further automation.

 

Why is process design and organization crucial today?

In many companies, the problem is not a lack of tools or skills, but rather that work "spills over" between roles, meetings, and unclear agreements. McKinsey reports that two-thirds of leaders perceive their organizations as too complex and inefficient, with key management processes consuming even more than half of managers' time. This is why reorganizations rarely yield lasting effects—without thoughtful process design, you only change the diagram on a slide, not how work is actually performed. Only organizing end-to-end actions creates a real foundation for scaling and automation.* A fundamental prerequisite for effective automation is not the tool itself (however modern), but a thoughtfully designed process that ensures we automate what is valuable, repeatable, and well-understood.

 

What happens when we do not design processes?

In many teams, processes are not formally defined—they exist only in the minds of key individuals. In practice, this means:

  • everyone performs tasks "their own way",
  • work method changes are introduced ad hoc,
  • new team members learn from colleagues rather than documentation,
  • daily errors become the norm, and their costs quickly add up.

This informality leads to reduced work predictability, growing task backlogs, and dispersed responsibility—ultimately limiting business scalability.

 

Process design is a competitive advantage

Documenting processes in graphical form—e.g., using BPMN (Business Process Model and Notation)—provides a clear language understood by both business and technology. This allows for unambiguous definition of:

  • the sequence of actions,
  • roles and responsibilities,
  • decisions and exceptions,
  • inputs and outputs,
  • quality control points.

This clarity means that similar tasks are performed the same way every time, increasing efficiency and reducing error risk. For organizations seeking automation, a clearly described process also serves as a proven "input" for automation systems, which cannot compensate for design flaws—they can only execute them more effectively.

 

Long-term benefits of well-designed processes

From a business perspective, the benefits of mapping and analyzing processes are multi-dimensional:

Scalability:

Predictable actions facilitate team scaling without proportional cost increases.

Faster onboarding for new employees:

Newcomers "get up to speed" faster when standards are documented.

Foundation for automation and AI:

Process order helps distinguish tasks requiring classic automation from those where artificial intelligence is valuable.

Better operational metrics:

Reduction of recurring errors, shorter task completion times, greater reliability.

In short—technology without a process is just a set of tools; a process without technology is an effort that is hard to scale. Only their combination delivers real advantage.

 

What does a well-designed process deliver?

A well-designed process is more than just documentation—it is a common language of action that minimizes misunderstandings and provides clear rules of engagement for every team member. This translates directly into:

  • increased work efficiency by eliminating repetitive manual steps,
  • predictability and standardization of results,
  • accelerated decision-making within processes,
  • better colleague experience—less "firefighting," more proactive work.

These results are impossible without a shared definition of what and how should be performed. Otherwise, the organization automates chaos—which does not lead to real savings or improvements.

 

About the Instructor

The training is led by Katarzyna John-Figarska—an expert in automation and business process organization, programmer, project manager, and entrepreneur. She has gained over 15 years of experience in the IT industry—in both technical and managerial roles—at companies such as Allegro, Żabka Polska, Wunderman Thompson Technology, and arvato services. Katarzyna owns Getting Things Digital, a firm that supports entrepreneurs organizationally and technologically by organizing and automating business processes using low-code tools and AI. Katarzyna is an experienced trainer, conducting training and consultations on work and project management systems (Jira, ClickUp) as well as automation (Make, AirTable, n8n, AI).
